WhatsApp chatbot for business in Dubai: how it works and what it can answer

A WhatsApp chatbot for business is an automated assistant on your WhatsApp Business number that answers customer messages instantly, collects their details and hands warm leads to your team. In Dubai, where WhatsApp is the default way to contact any business, it is the difference between a reply in five seconds and a reply the next morning.

This guide explains how a WhatsApp chatbot actually works, what it can and cannot answer, what the rules are in the UAE, and how to decide whether your business needs one.

Why WhatsApp matters so much in Dubai

Most customers in Dubai and across the UAE will not call you and will not fill in a contact form. They tap the WhatsApp icon. A clinic receives "do you have an appointment tomorrow afternoon?" at 10pm. A restaurant gets "table for eight on Friday?" while the whole team is on the floor. A real estate agent gets "is the two-bedroom still available?" from someone who has already messaged three other agents.

The messages also arrive in several languages: Arabic in Gulf and Levantine dialects, English, Hindi, Russian, Persian, French. A small team cannot be online around the clock in six languages. A chatbot can, and the first reply is where most enquiries are won or lost.

How a WhatsApp chatbot works

Under the hood, a business chatbot runs on the WhatsApp Business API (also called the WhatsApp Business Platform), which is Meta's official channel for companies. It is different from the free WhatsApp Business app on your phone: the API lets software read incoming messages and send replies on your behalf, with your number verified and your business name shown to customers.

  1. A customer messages your number. The message is passed to the chatbot platform in real time.

  2. The chatbot understands the question. Older chatbots only matched keywords or made the customer press 1, 2 or 3. Modern AI chatbots read the message the way a person would, including typos, mixed Arabic and English, and voice-note transcripts.

  3. It answers from your knowledge base. Your services, opening hours, locations, booking rules, delivery areas and the answers to your most common questions are loaded once and kept up to date.

  4. It collects details. Name, what the customer wants, preferred date, budget range or area, asked politely in the flow of the conversation rather than as a form.

  5. It saves and hands over. The conversation and the lead are saved to your CRM (Zoho, HubSpot or a simple Google Sheet), and a human is notified when the customer is ready to book, buy or needs something the bot should not decide.

At Point One we build this as a 24/7 AI employee: one assistant that covers WhatsApp and Instagram together, so the customer who comments on a Reel and then moves to WhatsApp is recognised as the same person.

What a WhatsApp chatbot can answer

  • Opening hours, location and parking. The most common questions, answered instantly in the customer's language.

  • Services and availability. "Do you do laser hair removal?", "Do you deliver to Jumeirah?", "Is the villa still available?"

  • Prices you choose to share. Some businesses share a menu or a price list; others prefer the bot to collect details and let a person quote. Both work.

  • Bookings and reservations. It can take the booking request, check the rules you set (minimum notice, party size, deposit policy) and confirm or pass it to your team.

  • Order status and simple support. "Where is my order?", "How do I change my appointment?", "What is your return policy?"

  • Qualifying leads. For real estate, clinics and B2B services, it asks the two or three questions that tell your team whether the lead is serious before anyone spends time on it.

What it should not do

A good chatbot knows its limits. It should not give medical advice, promise a discount it has not been authorised to give, argue with an angry customer, or pretend to be human when someone asks. It should also not message people first with promotions unless they have opted in, which brings us to the rules.

Is it allowed in the UAE?

Yes, when it runs on the official WhatsApp Business API and follows Meta's messaging policies. In practice that means: the customer messages you first (or has opted in to receive messages), you reply within the 24-hour conversation window, and any message outside that window uses an approved template. Unofficial tools that automate the regular WhatsApp app can get a number banned, which is why we never use them.

Your privacy obligations are the same as for any customer data: tell people what you collect, store conversations securely, and give them a way to reach a human. If your business is covered by the UAE Personal Data Protection Law, the chatbot is part of your processing and should be described in your privacy policy.

Keyword bot, menu bot or AI chatbot?

Three very different things get called "chatbot", and choosing the wrong one is the most common reason businesses are disappointed.

  • Keyword bot. Replies with a fixed message when a word appears. Cheap, but customers rarely use the exact word, and it breaks on the first unexpected question.

  • Menu bot. "Reply 1 for bookings, 2 for prices." Works for simple support, but feels robotic and many customers in Dubai simply type their question anyway.

  • AI chatbot. Reads the message, replies in natural language in the customer's dialect, remembers the conversation and knows when to hand over. This is what we mean by an AI employee, and it is the only option that feels like talking to the business.

What it looks like in practice

A customer writes to a clinic at 9.40pm: "hi, how much is a cleaning and do you have anything sat morning?" The chatbot replies in seconds: greets them by name, explains the cleaning service and what it includes, offers two Saturday morning slots, and asks whether they are a new or existing patient. The customer picks a slot. The bot confirms the slot because the clinic's calendar is connected, saves the booking and the contact to the clinic's CRM, and tags the conversation for the front desk. When the receptionist opens WhatsApp at 9am, the appointment is already in the calendar.

The same flow works for a restaurant taking a group reservation, a real estate agent qualifying a buyer, a salon rescheduling an appointment, or a B2B supplier collecting a quote request. The content changes; the structure does not.

Which businesses in Dubai benefit most

  • Clinics, dentists and beauty salons: bookings and rescheduling, treatment questions, pre-appointment instructions.

  • Restaurants and cafés: reservations, delivery areas, menu questions, event enquiries.

  • Real estate agents: availability, viewing requests, qualifying budget and move-in date.

  • Retail and e-commerce: stock and size questions, order status, returns.

  • Services and consultancies: collecting the brief, booking a call, sending the right information pack.

Brands in Lebanon use the same setup with replies in Lebanese Arabic, French and English, which we cover on our Lebanon page.

What to prepare before you start

  1. A WhatsApp Business number, ideally one that is not someone's personal phone.

  2. A list of the 20 to 30 questions you get most often, with the answers you would want a good employee to give.

  3. Your booking or quoting rules: what the bot may confirm on its own and what needs a person.

  4. Where leads should go: your CRM, a Google Sheet, or an email to your team.

  5. The handover rule: who gets notified, and how fast they will respond.

With these ready, a first version is usually live within a couple of weeks, and the first month is spent reading real conversations and refining the answers. If your customers also message you on Instagram, pairing the chatbot with Instagram DM automation means both channels feed the same lead list. FAQ

Does a WhatsApp chatbot reply in Arabic?

Yes. It replies in Arabic and English, including Gulf and Lebanese dialects, and can be set to any language and tone you choose. Other languages are tested on your real conversations before going live.

Do I need the WhatsApp Business API or is the app enough?

The free app is fine for replying by hand. Any real automation needs the WhatsApp Business API, which is Meta's official channel for software to send and receive messages on your number.

Can it book appointments?

Yes, it always takes the booking request and checks the rules you set. Whether it can confirm on the spot depends on the integration: connected to your booking tool or calendar, it confirms the slot; without one, it registers the request and your team confirms. Either way the lead and the details are saved.

Will customers know they are talking to a bot?

If they ask, it tells them, and a person can take over at any point. Most customers care about getting a correct answer quickly, not about who typed it.

How long does it take to set up?

A first version is typically live within two to three weeks, depending on how quickly the questions, answers and rules are ready. It then improves every month from real conversations.

What does a WhatsApp chatbot cost?

The cost has four parts: the chatbot platform, Meta's per-conversation messaging fees, the AI model usage, and the set-up plus monthly maintenance. The platform and Meta fees grow with the number of conversations; set-up depends on how many flows and integrations you need, so a clinic with one booking flow costs less than a retailer with orders, returns and three languages. We quote after a short call, once the scope is clear.

Do you build WhatsApp chatbots for businesses outside Dubai?

Yes. We set them up for businesses across the UAE, including Abu Dhabi and Sharjah, and in Lebanon.
